Programming a Flow in SecureClose V3

Background: Flows are designed to let you organize documents from your library into common workflow scenarios needed by your business! This allows you to organize a collection of documents into a ‘presentation’ that can be used in the future for your customers to sign. For example, if you are a car dealer who always uses the same documents (in the same order) to have your client sign in order to complete the sale, you can program that here. You can have as many flows as you need, but most users will only need one. Flows are flexible – you can make documents required or optional, or even add a conditional grouping of documents!

1. Click on the Flows Tab from the main menu on the left. To start building a flow, click on the + Create a Flow button on the top-right.

2. Start Building – In the Flow Stage that opens up, you’ll see some immediate options available to you. Start by choosing the very first document you’d like your customer to see when seeing this workflow. You will see a list of the most recently created document templates you have programmed, along with a search that will let you quickly find the document you want if it’s not on the recent list! For my flow, I want to start by showing each buyer the Used Car Buyers Guide.

3. Once selected, you will see a preview of the document template you selected, as well as some options for that document. If you change your mind, you can remove the document. You can also toggle whether or not this document MUST be included when using the flow. For example, if this flow is built to facilitate a vehicle sale, I can add a Retail Installment Sales Contract to the flow and make it Required. This way, if I try to upload documents to this flow later and forget to include the contract, the system will prompt me to upload it so it never gets missed! From here, I will click the Document icon below the buyers guide to add the next document I’d like to present in the flow.

4. Choose Additional Documents – I can repeat the process of adding additional documents in the order I’d like them to display to my client. If I’d like to adjust the order in which they display, I can click and drag the Boxes icon to the immediate left of each document to drag it to the correct order! I am going to add my CPI Document as the next to display.

5. Add a conditional Document Set- Next I would like to add a conditional document set. Imagine if my dealership offers a 12, 24, or 36 month service agreement to my clients, and allow them to choose which one they’d like to buy. I could add the 12 Month Service Agreement as a conditional document, then use the Plus sign to add the 24 and 36 as well. This will make it so that the flow must include ONE of these documents, but not more than one! It’s the perfect way to ensure that your service contract is always included, but avoid the potential for accidentally sending more than one to your client!

6. Add an Avatar Introduction – Now that I am satisfied with all of the documents included in my flow and the order they will display, I am going to scroll back up to the top and click on the Add Avatar Signing Intro link. Just like with documents, this will allow me to add an introduction or greeting from the Avatar to every signer that will use this flow! This gives you the opportunity to personalize the SecureClose experience for your business. I am going to key in the Script I’d like the avatar to read, and click on the Save button. A notification will appear to let you know that the Avatar video is processing.

7. Preview the Video – Once complete, you will get a notification that the video is done processing, and you’ll have the option to click on the Play button to preview the video the same way that your clients will see it!

8. Name your Flow – Now that my flow is programmed, I am going to click on the Settings button to give it a name and add the finishing touches. Give your flow an easiliy identifiable name, as well as a description if you’d like to further provide a use-case or cntext for your fellow users. The Expiration dropdown allows you to choose how long the signings using this flow will be available to start. For example, if I choose 24 hours, if the signer fails to start the signing before that time runs out, they will receive a message that the signing has expired and that the Originator (you) will need to generate a new one. Enable ID Verification allows you to choose whether or not you’d like your signers to go through a process with Plaid to verify their identity. Please Note – this is an additional charge and you will be billed for every ID Verification you run, whether the customer completes the signing or not.
Allow Recording Exceptions – One of the core benefits of the SecureClose platform is the ability to capture an indisputable video record of the transaction. SecureClose will Always record everything shown and done on the screen, but if you Allow Recording Exceptions, it will allow the signing to proceed even if a signer chooses not to allow their webcam to be captured, or if the device they are using does not have one. If you toggle this off, the signing will not be allowed to continue unless a webcam is present and permission to capture it is granted.

9. Save your Settings – When all options on the flow are set to your liking, click the Save button.

10. Return to the Flows Page – Now that your flow is complete, click the Back button on the top-left to return to the flows page.
